Email / HTML Options

In order to use the e-mail function in Virtual Office the HTML button (a mailbox icon in Full View) must appear in color (e.g. not grayed out).

Once you click on the HTML option the following screen will appear:

 Answer Yes if you want to clear any previously created e-mails and start a new session.

Answer No if you are creating several e-mail reports for the same client.

 Once you have made your selection the following screen will appear:

 

 The reports shown in the box titled VO-MailBox are the one that you have chosen to send.  If there is a report listed that you do not want to send you can delete from this screen by highlighting the report and clicking on the Delete option.  If you decide that there are additional reports you would like to include in your e-mail you can click the Send LATER button and create the additional reports that you want to include.

 When you are ready to send the e-mail you will need to determine if you are going to send the e-mail using VO Mail (requires inputting the SMTP server of your e-mail client) or another e-mail program (i.e. AOL or Microsoft Outlook).

 

Send E-Mail using Other Program

 If you elect to send using another e-mail program you will click the Send E-Mail Using other Pgm option and click on Send Now and the following screen will appear:

 

 Open your e-mail program (i.e. Microsoft Outlook, Outlook Express, AOL, etc…) and compose a new message and attach the CLICKME.EXE file found in the C:\PCPICSW directory.

 The e-mail your clients will receive will contain an attachment titled Clickme.exe, they will double click on the Clickme.exe file and it will self extract and launch the browser so they can view the reports.

 

Send E-Mail using VOMAIL

 

If you choose to use VO Mail, click the Send E-Mail using VOMAIL option. Next, you will need to click on the Setup button on the right side of the VO Mail window. Inside the Mail Setup window, you need to input your name, e-mail address, and the SMTP host of your e-mail client. The Default Directory for Attachments will appear automatically.

 At this point you need to enter the e-mail address of the recipient and a subject for the message. You can include a short message. Once you have addressed and composed the e-mail, click on the Send NOW option to connect to your e-mail provider and send the e-mail.
